Troubleshoot catalog sync problems — stuck syncs, missing products, API errors, and slow imports

Sync Issues
Catalog sync is the foundation of Vantage — if sync isn't working correctly, your scores won't reflect your current product data. Here are the most common sync issues and how to resolve them.
Sync stuck in "running" state
Symptoms: The sync progress indicator stays active but the product count doesn't change for several minutes.
Solution:
- Wait for auto-clear — Vantage automatically detects stale sync jobs and clears them after 10 minutes
- Once the stale job is cleared, trigger a new sync from the dashboard or Settings page
- If the issue persists after retrying, try refreshing the page with a hard refresh (Cmd+Shift+R / Ctrl+Shift+R) and syncing again
Stale sync jobs are usually caused by a network interruption or Shopify API timeout. The auto-clear mechanism handles this gracefully — you just need to wait and retry.
No products found after sync
Symptoms: Sync completes but the dashboard shows zero products.
Possible causes and solutions:
- Empty catalog — Vantage syncs all products in your catalog regardless of status (active, draft, or archived). Check that you actually have products in your Shopify admin
- Permissions issue — Verify that Vantage has the
read_productspermission. You can check this in Shopify admin under Settings > Apps and sales channels > Vantage - New store — If you just created the store and haven't added products yet, add at least one product and sync again
API throttling errors (429)
Symptoms: Sync fails or is very slow. You may see error indicators on the dashboard.
Solution:
- Wait 2-5 minutes — Shopify rate limits reset quickly
- Retry the sync — Vantage has built-in exponential backoff, but a fresh sync attempt may clear the issue
- Reduce concurrent API usage — If other apps are making heavy API calls at the same time, consider spacing out operations
API throttling is a Shopify platform protection, not a Vantage issue. Vantage handles rate limits automatically with exponential backoff. If you're seeing frequent throttling, other apps on your store may be consuming API quota.
Database errors during sync
Symptoms: Sync starts but fails partway through with a database error.
Solution:
- Wait 1-2 minutes — Temporary database connection issues usually resolve quickly
- Retry the sync — The cursor-based resumability means it picks up where it left off
- If the issue persists, try again in a few minutes — database maintenance windows are rare but possible
Large catalog taking too long
Symptoms: Sync is running but taking several minutes for a large catalog.
Expected behavior:

| Under 50 products | A few seconds |
| 50-250 products | Under a minute |
| 250-500 products | 1-3 minutes |
| 500+ products | 2-5 minutes |
If your sync is within these ranges, it's working normally. Larger catalogs simply take more time due to API pagination and data processing.
If sync is significantly slower than expected:
- Check Shopify's API status for any ongoing performance issues
- Try syncing during off-peak hours (early morning or late evening)
- Ensure your store doesn't have other apps making heavy API calls simultaneously
Sync completed but some products are missing
Symptoms: Sync shows as completed but the product count is lower than expected.
Possible causes:
- Product limit reached — All products are synced regardless of status, but only those within your plan limit are audited and scored. Products beyond the limit appear in the list without scores. Check your plan usage in Settings
- Recently added products — Products added after the last sync won't appear until the next sync
Solution: Verify your total product count in Shopify admin, then trigger a fresh sync.
